Rules for Participation in the 14th International Montessori Conference

§ 1. GENERAL PROVISIONS

  1. These rules define the conditions for participation in the conference titled: 14th International Montessori Conference, organized by: A. Polish Montessori Council, based in Warsaw, ul. Czesława Kłosia 7, 02-466 Warsaw, registered in the National Court Register under KRS number: 0000682719, at the District Court for the Capital City of Warsaw under the name Polish Montessori Council Association, 12th Economic Division of the National Court Register, NIP: 7010704350. B. Be Alive Zuzanna Załoga, based in Warsaw, ul. Blaszana 1/113, 03-703 Warsaw, NIP: 8231536992, REGON: 147384050. C. Polish Montessori Institute, based in Warsaw, ul. Lwowska 11/3, 00-660, NIP: 5291752798, REGON: 141521190. Contact email: kontakt@konferencjamontessori.pl.

  2. The conference will take place from April 4-6, 2025, at Hotel Arche Krakowska, Aleja Krakowska 237/U1, 02-180 Warsaw.

  3. The Privacy Policy outlines the method of data processing and is available on the event website: https://montessori2025.syskonf.pl/prywatnosc.

§ 2. DEFINITIONS For the purpose of these rules, the following definitions apply:

a) Rules – this document containing the terms and conditions of participation in the Conference, available at: www.konferencjamontessori.pl. b) Organizer – the Polish Montessori Council Association, based in Warsaw, ul. Cybernetyki 13, 02-677, NIP: 7010704350. c) Conference – the event organized by the Organizer under the name: 14th International Montessori Conference, held at Hotel Arche Krakowska, Aleja Krakowska 237/U1, 02-180 Warsaw. d) Registration – the process of submitting an application to participate in the Conference, either as an individual (Individual Registration) or as a group representing an organization (Group Registration), via the Registration Form. e) Registration Form – the form available on the website www.radamontessori.pl used for Registration. f) Registration Confirmation – a confirmation email sent by the Organizer to the email address provided by the Participant during the Registration process. g) Participant – an individual listed in the Registration Form.

§ 3. CONDITIONS OF PARTICIPATION

  1. Participation in the Conference requires completing the Registration via the Registration Form available on the Conference website: www.konferencjamontessori.pl and making the payment.

  2. A Participant may register independently (Individual Registration) or be registered by an authorized person (Group Registration).

  3. Regardless of the registration method, each Participant must read and comply with these rules.

  4. The registration system service includes storing the Participant's registration data and processing this data by collecting, recording, storing, updating, supplementing, and deleting it as needed.

  5. Each Participant will receive a certificate of participation in the Conference, which will be sent electronically by the Organizer.

§ 4. COMPLAINTS

  1. All complaints regarding the Conference should be submitted in writing via email to kontakt@konferencjamontessori.pl or by mail to the Organizer's address. The complaint must include the complainant's name, mailing address, email address, phone number, subject of the complaint, event date, and factual circumstances justifying the complaint.

  2. Complaints must be submitted no later than three days after the Conference ends.

  3. Complaints submitted after this period will not be considered.

  4. The Organizer will review complaints within 14 business days and respond in the same form as the complaint was submitted.

§ 5. PAYMENTS

  1. Participation in the Conference is subject to a fee, depending on the selected package.

  • One-day package (Friday only) – 349 PLN (no online recordings access).

  • One-day package + 30-day online access – 699 PLN.

  • Two-day package (Saturday and Sunday) – 749 PLN (no online recordings access).

  • Two-day package + 30-day online access – 999 PLN.

  • Full package (Friday-Sunday) – 999 PLN (promotional discounts available for early registrations).

  • Online participation – 349 PLN.

  1. The current conference fees are available on the event website.

  2. Prices include VAT.

  3. Participants can request a VAT invoice by providing billing details in the Registration Form.

  4. VAT invoices will be issued after payment is received.

  5. Educational institutions and public entities may receive an invoice with a 14-day payment term if they register at least 14 days before the Conference starts.

  6. Payment methods: a) Bank transfer to the Organizer's account: 83 1090 1883 0000 0001 3488 9312 (Santander Bank). b) Credit card via PayU. c) Online bank transfer. d) Blik payment.

§ 6. TRANSPORT AND ACCOMMODATION

  1. Participants cover their own accommodation and travel expenses.

  2. Free parking is available at the hotel during the Conference.

  3. Preferential accommodation rates at Hotel Arche Krakowska are available upon registration.

  4. The Organizer does not mediate in booking accommodations and is not responsible for any claims between Participants and the hotel.

§ 7. PARTICIPANT OBLIGATIONS

  1. Participants must read and comply with these rules.

  2. Participants must follow health, safety, fire protection, and administrative regulations.

  3. Participants may stay at the Conference only during designated hours.

  4. Unauthorized commercial, promotional, or fundraising activities are prohibited.

  5. Participants must respect the law and public order.

  6. The Organizer may deny entry or expel individuals under the influence of alcohol, drugs, or those behaving aggressively.

  7. Participants are financially responsible for any damages caused.

  8. The Organizer is not responsible for damages caused by force majeure.

  9. The Organizer is not responsible for unattended belongings.

§ 9. CANCELLATION POLICY

  1. Participants can cancel their registration and receive a 90% refund if requested by February 28, 2025. After this date, fees are non-refundable. No-shows are not eligible for a refund. Participant name changes are allowed until April 1, 2025, by emailing kontakt@konferencjamontessori.pl.

§ 10. LIABILITY

  1. The Conference is for educational purposes only. The Organizer is not liable for damages arising from the use of knowledge gained.

  2. If the Conference is canceled due to Organizer-related reasons, participants will be notified and refunded.

  3. The Organizer reserves the right to change the program, speakers, or cancel the event due to unforeseen circumstances. In such cases, payments will be refunded or applied to a rescheduled event.

§ 11. RULES FOR THE USE OF IMAGE, VOICE, AND STATEMENTS

  1. The Organizer declares, and the Participant agrees, that the Conference proceedings will be recorded in the form of audiovisual recordings and/or photographs. The created works will be used for broadcasting in mass media (television, radio, the Internet, press, social media, etc.) or for documentation, promotion, and advertising purposes of the Organizer, other entities designated by the Organizer, as well as the Conference itself (commercial use).
  2. The Organizer informs that the recording of the material mentioned in point 1 will take place throughout the entire venue where the Conference is held unless the Organizer explicitly designates areas free from recording.
  3. The Participant authorizes the Organizer to use their image and/or voice and statements (if provided during panel discussions and/or recorded on camera) and to distribute them as elements of the aforementioned works for the purposes listed in point 1 above. The Participant hereby grants a non-exclusive, unpaid, unlimited in time and territory consent for their use by the Organizer and any entities authorized by the Organizer across various fields of exploitation, including:
    – recording on any audiovisual medium (video carriers, photosensitive tape, magnetic tape, computer disk, multimedia network, including the Internet),
    – duplication by any technique,
    – public display, playback, broadcasting, and rebroadcasting,
    – lending, renting, or sharing of the media containing the recorded image, voice, or statements,
    – entering into computer memory and multimedia networks,
    – use on various websites (including the Organizer’s website).

§ 12. FINAL PROVISIONS

  1. The Organizer provides access to the Terms and Conditions before the Participant completes registration.
  2. The Organizer reserves the right to introduce changes to the Terms and Conditions. The last update of the Terms and Conditions: February 27, 2025 (introduction of new conference package options). The version prior to the update is available here.
  3. Each new version of the Terms and Conditions applies to individuals who have not yet registered for the Conference or have accepted the new Terms and Conditions.
  4. The number of available spots for the Conference is limited. Participation in the Conference is determined by the order of registration.
  5. The Organizer reserves the right to exclude Participants from the Conference if they violate any provisions of these Terms and Conditions, particularly if they:
    a) engage in actions that are unlawful, unethical, or harm the legitimate interests of third parties;
    b) undertake actions aimed at circumventing or attempting to circumvent the Terms and Conditions or the rules of the Conference;
    c) take actions that violate the legitimate interests of the Organizer or damage its reputation.
  6. In matters not regulated by these Terms and Conditions, the provisions of the Civil Code shall apply accordingly.
  7. In case of amendment or invalidation of any provision of the Terms and Conditions by a final court ruling, the remaining provisions shall remain in effect.
  8. Any disputes between the Organizer and Participants shall first be resolved amicably, and if no agreement is reached, by the court having jurisdiction over the Organizer’s registered office.
  9. The Organizers are not responsible for Participants' belongings that may be lost, damaged, or stolen during the Conference.
  10. The Privacy Policy is an integral part of these Terms and Conditions.
